Warehouse Manager
Job Purpose and Impact
The Warehouse Manager will plan, organize and control warehouse operations to ensure the safe, accurate, timely, and cost‑effective storage and movement of materials in alignment with production, quality and business requirements. The role ensures that raw materials, packaging, finished goods and consumables are available in the right quantity, at the right time, in the right condition, while maintaining inventory integrity, compliance and operational efficiency.
Key Accountabilities
Inventory Control & Accuracy
- Ensure 100% traceability and inventory integrity for all raw materials, packaging materials, consumables and finished goods
- Maintain system stock and physical stock alignment through regular cycle counts and periodic physical verification
- Ensure FIFO / FEFO compliance
- Identify, investigate and close stock variances with documented root cause analysis, stock reconciliation reports, physical verification records, FIFO / FEFO logs, variance RCA & corrective action records
Inbound Material Control (GRN Compliance)
- Ensure materials are received only against approved purchase orders
- Verify quantity, condition, labeling and documentation during receipt
- Ensure GRNs are posted accurately and within defined timelines
- Maintain segregation of accepted, rejected and quarantined materials
- Responsible for GRN register/system reports, Inspection and acceptance tags, quarantine & rejection records
Outbound Control & Material Issuance
- Ensure materials are issued only against authorized requisitions. Prevent unauthorized, excess, or incorrect material issues
- Maintain complete documentation for all stock movements, material requisition approvals, issue slips/system issue records, batch wise traceability records
- Support production schedules by ensuring material availability without over issuance
Storage, Quality & Contamination Control
- Ensure storage conditions meet quality, safety and regulatory requirements. Support GMP/feed food safety standards
- Maintain segregation to prevent - cross contamination, mix ups, quality deterioration
- Maintain housekeeping & pest control records, storage layout & segregation maps, GMP inspection checklists
Safety & Statutory Compliance
- Ensure compliance with all warehouse safety norms, including - stacking limits, material handling practices, fire safety, hazardous material storage
- Ensure warehouse personnel are trained in safety procedures
- Report and close safety deviations through corrective actions
- Maintain safety training records, incident / near miss reports, fire & safety inspection logs
Documentation & Record Control
- Maintain all warehouse records in accordance with document control procedures. Ensure records are legible, retrievable, protected from loss or damage
- Maintain SOP compliance records, record retention index, controlled document lists
Audit & Inspection Readiness
- Partner during internal audits, external/customer audits, regulatory inspections
- Ensure timely closure of audit observations, non-conformances, and CAPAs. Participate in continuous improvement initiatives arising from audits
- Maintain audit reports, CAPA closure records, management review inputs
People & Contractor Control
- Ensure warehouse staff and contract labor operate strictly as per approved SOPs
- Maintain training records for SOPs, safety, system usage and ensure compliance with labor and site rules
- Responsible for contractor compliance documentation, training matrices, attendance & authorization records
Cost Control & Loss Prevention
- Prevent losses due to mishandling, damage, expiry and pilferage
- Support inventory optimization and working capital control. Escalate abnormal losses immediately to management
- Maintain Loss/damage reports, write off approvals, inventory aging analysis
Qualifications
Minimum Qualifications:
Bachelor's degree in Supply Chain Management or Logistics / Material Management or Business Administration with ten years of experience
Excellent leadership and communication skills and the ability to communicate with all levels in the plant
Preferred Qualifications:
Five years of supervisory experience
MBA / PG in Supply Chain / Operations with minimum of twelve years of experience in supply chain and warehouse management
