Job Purpose and Impact
The Payroll Tax Specialist (open to remote) performs moderately complex payroll tax processing tasks to ensure accurate calculation, reporting, and compliance with federal, state, and local tax regulations. Under limited supervision, this role supports the smooth delivery of payroll tax operations, including reconciliation of tax records, timely filings, and resolution of tax-related inquiries. The position also advises on technical payroll tax regulations and contributes to continuous improvement initiatives.
Key Accountabilities
- PAYROLL TAX COMPLIANCE EXECUTION: Implements payroll tax process adjustments based on new regulations to ensure compliance with legal and fiscal requirements, including accurate calculation and remittance of payroll taxes.
- PAYROLL TAX REPORTING & RECONCILIATION: Prepares and reviews payroll tax filings, reconciles tax accounts, and ensures timely submission of required reports to government agencies.
- COMMUNICATION: Provides counseling and advice on technical payroll tax regulations to support compliance and identifies employee concerns that require further support.
- PAYROLL ADMINISTRATION: Executes various moderately complex payroll process tasks, including coordinating the submission of required reports, running post-payroll reports for third-party companies, preparing and distributing paychecks or direct deposits, generating payroll reports, and resolving exceptions and errors.
- PAYROLL COMPLIANCE: Conducts research of payroll-related laws and regulations to help monitor and manage compliance of the organization's payroll process.
- CONTINUOUS IMPROVEMENT: Analyzes current payroll tax processes, maintains awareness of industry trends and best practices, and identifies opportunities to improve the organization's methods and control implementation.
- VENDOR MANAGEMENT: Supports partnering with key vendors and stakeholders to stay updated on the latest technologies, tools, and methodologies, and helps identify opportunities to integrate them into program design and delivery.
Qualifications
MINIMUM QUALIFICATIONS
- Diploma/Certificate or bachelor’s degree in Payroll, Accounting, or a related field
- Minimum requirement of 2 years of relevant work experience. Typically reflects 3 years or more of relevant experience.
- Proficiency in Microsoft Office
- Excellent analytical skills, with ability to multi-task under tight deadlines
PREFERRED QUALIFICATIONS
- Five years of payroll tax processing experience
- Preference for Certified Payroll Professional (CPP) certification or actively pursuing it
- Experience with ADP GlobalView Payroll System
